This privacy notice tells you how Church in the Community (CitC) will collect and process your personal data if you Gift Aid, hire our room, contact us, use our website and/or consent to our marketing communications.

Church in the Community are a group of Christian believers based in the Black County, West Midlands.

How we collect and process personal data

We collect the minimal personal data necessary for the provision of the services and communications listed below. We endeavour to keep this information accurate, up to date and not keep it longer than is necessary. Information processed for marketing communications is only kept for as long as you provide consent.

We process the personal data you provide, so that you can:

  1. Declare Gift Aid on your donations

    The Gift Aid declaration form you completed enables us to reclaim tax on a donation or donations you have made. The law requires that these forms are stored for 6 years from the end of the accounting period they relate to.

  2. Send us a general enquiry via email or via our online contact forms

    Personal data supplied by you will be used to process and respond to your specific enquiry.

  3. Send us a room hire enquiry via email or via our online form

    Personal data supplied by you will be used to process and respond to your specific enquiry.

  4. Hire our room via correspondence with our booking manager

    Personal data supplied by you will be used to process and manage your booking, including keeping you up to date and contacting you to arrange the opening and locking of the building before and after your session.

  5. Use our website

    We use Google Analytics to record statistical data on website usage and behaviour.

  6. Receive news by email

    Data provided for the specific purpose of receiving news by email will be added to our mailing list that we use to send regular emails to subscribers about CitC.

Managing your marketing consent

We would like our subscribers to enjoy our communications, but it is important to note that consent can be withdrawn at any time by clicking the ‘Unsubscribe’ link in any news email sent.

Cookies and IP addresses

We use cookies, which are small files that are placed on your computer when you visit. We do this to track website usage and statistics.

CitC uses a third-party service to help maintain the security and performance of our website. To deliver this service it processes the IP addresses (a number assigned to each of your devices connected to the internet by your broadband provider) of visitors to the CitC website.

Disclosure of personal data to 3rd parties

We store your personal data on the secure servers of a reputable an email service provider and software provider in the course of dealing with you. CitC will not pass on your personal data to any other third parties without your consent except in extreme situations where the law requires us to do so.

Your rights as a data subject

At any point while we are in possession of or processing your personal data, you the data subject, have the following rights:

  • Right of access – you have the right to request a copy of the information that we hold about you. You can do that by contacting us. If we do hold information about you we will:
    1. Give you a description of it
    2. Tell you why we are holding it
    3. Tell you who it could be disclosed to
    4. Let you have a copy of the information in an intelligible form

    Please note that you will need to provide proof of identity – passport, driving licence or birth certificate.

  • Right of rectification – you have a right to correct data that we hold about you that is inaccurate or incomplete.
  • Right to be forgotten – in certain circumstances you can ask for the data we hold about you to be erased from our records.
  • Right to restriction of processing – where certain conditions apply to have a right to restrict the processing.
  • Right of portability – you may have the right to have the data we hold about you transferred to another organisation.
  • Right to object – you have the right to object to certain types of processing such as direct marketing.
  • Right to object to automated processing, including profiling – you also have the right to be subject to the legal effects of automated processing or profiling.
  • Right to judicial review: in the event that Batemans refuses your request under rights of access, we will provide you with a reason as to why. You have the right to complain as outlined below.
